Operate the full subscriber journey in Subby's merchant workspace — plans, customers, subscriptions, mandates and recovery actions in one view.

The Subby merchant workspace is how operators run the Subscription OS day to day. It keeps activation, plans, customers, subscriptions, mandates and recovery actions in one connected view so support and finance are not chasing separate systems.

Activation and home dashboard

A state-driven checklist guides a new merchant through creating a plan, adding or importing a customer, collecting a mandate, receiving a webhook, seeing a successful charge and inviting the team. Completion comes from real account activity.

The home dashboard brings together active subscriptions, monthly recurring revenue, money collected this month, failed and unrecovered payments, recovery rate and mandates waiting for activation. A needs-attention list highlights stuck mandates, past-due subscriptions, mandates approaching their ceiling and failing webhook endpoints.

Business type and your dashboard

You choose a business type when applying to become a provider: estate management, meal plans, gyms and fitness, insurance, e-commerce, waste, fuel, laundry or Other. This choice determines the application questions, the dashboard designed for your operation and the products or subscription capabilities available to the account.

You can change the business type in Settings → Business while the provider application is pending. After approval, the business type is locked. Contact Subby support when an approved business needs to change it; an administrator records the reason and change history.

Older provider accounts without a recorded business type complete a short setup the next time they open the provider dashboard. The setup explains the available types, lets the provider select one and confirms the resulting dashboard.

Every provider can use the dashboard built for its business type or select the basic dashboard in Settings → Business. Other, waste, fuel and laundry businesses use the basic dashboard. A provider cannot switch into a different industry's dashboard.

E-commerce providers receive Products and Orders tools for product-led purchases such as Save to Buy. Those tools remain reachable from the basic dashboard, which also alerts the merchant when an order is ready to deliver.

Plans

Create, edit and archive plans with templates for waste, fuel, estates, gyms, laundry, meal plans, insurance, e-commerce and a generic recurring service. Templates can prefill amounts, cycles and service configuration. Merchants can edit every field allowed by their business type and product configuration.

Plans also carry operational policy:

  • Trial, billing cycle and usage rules.
  • Retry and reminder schedules.
  • The action to take when recovery fails.
  • Whether subscribers may pause.
  • Proration behavior for plan changes.

Archiving a plan stops new signups while existing subscriptions continue.

Customers

Search customers by name, email, phone or metadata. Each customer record brings subscriptions, charges, mandates and nudges into one timeline, so support can explain what happened without querying separate systems.

Subscriptions

Filter subscriptions by status, plan, country or collection mode. A subscription detail view exposes its next charge, mandate state, charge history and current place in the lifecycle.

Supported actions include pause, resume, cancel, change plan and retry now when the underlying payment rail allows them. Plan changes show the proration amount before confirmation. Cancellation defaults to the end of the paid period and states the exact date.

Mandates

The mandate manager distinguishes pending, active, expiring and exhausted mandates. Pending mandates older than 48 hours can be flagged for a new authorisation request. A ceiling meter shows the remaining authorised amount and estimates the number of billing cycles it covers.

Mandate evidence includes the consent text, timestamp, IP address and authorisation trail. Subscribers can re-authorise an expired or exhausted mandate without replacing the subscription.
